Everything it takes to plan, host, and run a trade show.
Microsite, booth planning, exhibitor and sponsor onboarding, KYC verification, passes, QR check-in, and booth lead capture — with payments going straight to your own gateway and no commission taken.

Why it matters
Running a trade show still runs on spreadsheets
Organizers stitch together registration forms, spreadsheets, ad-hoc payment links, manual document collection, and a printed floor map — then spend weeks chasing paperwork. Exhibitors walk away with a stack of business cards and a data-entry backlog.
The whole show runs on one platform
One ecosystem carries the whole show: microsite, booth plan, exhibitor and sponsor onboarding, verification, passes, check-in, and the lead lists exhibitors leave with. Bidancer is the infrastructure, never the intermediary — your gateway, your money, your event.
Everything in one platform
What you get out of the box
Every part of the workflow is covered, so there is no separate stack to build or maintain.
Booth planning and pricing.
Lay out the exhibition floor visually, define booth sizes and tiers, set a participation fee per tier, and track availability and allocation from one inventory.Exhibitor management.
Onboard exhibitors, offer participation packages, collect required documentation, and keep every exhibitor record in one place.Sponsorship management.
Publish sponsorship opportunities and let sponsors review packages, submit their information, and complete the process on the platform.Pass management.
Create and manage pass categories for exhibitors, internal teams, visitors, participants, and sponsors, each with its own rules.Bring your own payment gateway.
Connect your own Razorpay or Cashfree account. Money for registrations, passes, sponsorships, and fees goes straight to you — Bidancer never holds it and takes no commission.KYC and business verification.
Exhibitors already verified on Bidancer share their existing KYC with your event on their own consent. New ones get verified as part of onboarding — no compliance infrastructure on your side.QR check-in and kiosk passes.
Visitors scan a QR code at the venue, register through the portal, and get their pass digitally or printed at a supported kiosk.Booth lead capture.
Every pass carries a smart QR code. Exhibitors scan it at the booth and receive a structured list of everyone they met — no cards, no spreadsheets, no post-event data entry.Data formulation

Designed for both sides
One module. Two clear reasons to participate.
For organizers
Operate the entire show without an event-tech stack
Run registration, floor planning, sponsorship, passes, and on-site operations without building or buying event-tech infrastructure.
Publish a microsite with plans, packages, pricing, and passes Plan the floor, tier booths, and price them from one inventory Onboard exhibitors and sponsors with documents and verification handled Collect money into your own payment gateway, with no commission taken Run passes, QR check-in, and on-site kiosks from the same workspace
Where it creates value
Real business situations, structured properly
Large physical expo
Plan a large exhibition floor, tier and price booths, onboard hundreds of exhibitors, and run gated entry with passes and QR check-in.
Sponsor-led conference
Sell tiered sponsorship packages from the microsite, onboard sponsors with verification, and issue their team's passes alongside exhibitor passes.
Hybrid or multi-city series
Run a hybrid or multi-city series where each edition reuses exhibitor verification, plan structures, and pass categories.
Trust at every handoff
Discovery never becomes permission by accident.
Public content explains the opportunity. Backend-enforced gates decide who can act, when contact can be revealed, and what must remain auditable.
Bidancer never holds your money — collections settle into your own payment gateway.
No commission or percentage is taken from event transactions.
Verified exhibitor information is shared with an organizer only on the company's consent.
Passes, check-in, and booth scans stay traceable and auditable.
Organizer actions follow explicit permissions and event states.
Public event information does not bypass payment or eligibility gates.
Questions, answered
Before you take the next step
Does Bidancer take a cut of what we collect?
No. Bidancer takes no commission or percentage from your transactions and never holds your funds.
Whose payment gateway is used?
Yours. Connect a supported gateway such as Razorpay or Cashfree, and money from exhibitor registrations, passes, sponsorships, and participation fees settles directly into your own account.
What does Bidancer charge for?
Participation. Instead of commissions, the organizer uses credits as exhibitors and applicable participants successfully join the show. See the pricing page for current rates.
Can exhibitors reuse verification they already have?
Yes. If they are already verified on Bidancer, their existing KYC and business verification can be shared with you on the company's own acknowledgement and consent, which makes onboarding much faster.
What about exhibitors new to Bidancer?
Bidancer facilitates their KYC and business verification as part of onboarding, so you can tell whether a participating business is legitimate and compliant without building a verification process yourself.
What do exhibitors take home from the show?
A structured list of every visitor whose pass they scanned at the booth — a ready-made lead and follow-up list, instead of business cards and manual data entry.
