Team and roles
Bring in co-organisers and staff, and give each of them only the access their job needs — per show, or as a template across every show you run.
Most shows are run by more than one person, and not everyone should be able to do everything. The volunteer scanning badges at the door does not need your payment settings.
Two levels of organiser
The host
Your business. Full control of the show, and the entity the money settles to.
A co-organiser
Another business co-running it, with whatever permissions you grant. Real for co-hosted events and association-run shows, where two organisations share a show without one handing over its account.
A co-organiser can be invited, active, or removed later. Removing one does not remove the show's history of what they did.
Named roles
Beyond the two levels, roles are named sets of permissions — "Floor manager", "Registration desk", "Finance" — each carrying only what that job needs.
A role can be defined:
- for one show, when it is specific to that event, or
- as a template across every show you run, which is the one that saves work if you run several a year
Some roles come predefined as sensible starting points.
Why not simply admin or not
A show has three quite different jobs happening at once, and they need genuinely different access:
Finance
Pricing, discount codes, receipts, the payment account. Should not be everyone.
Floor
The plan, booth allocation, exhibitor onboarding. Needs to move fast without touching money.
Door
Scanning passes and issuing walk-ins. Often the most people and the least training.
Collapse those into one flag and you either hand everyone the payment configuration, or funnel every routine action through one person on the busiest day of your year.
How access is applied
Permissions are checked per action, so the interface shows what a person can actually do rather than offering buttons that fail. Someone on the registration desk does not see a half-working settings screen.
Add the team before you are busy
The week of the show is the worst time to discover that the only person who can issue a pass is the one stuck in traffic.

On the day
What to watch while the doors are open — the live view, checking people in, walk-ins, announcements, and helping exhibitors leave with something.
